Columbus in Lloyds TSB

The Problem

Lloyds TSB have a property portfolio of over 3,000 premises and their property management department had drawings and other information stored in various locations and formats across the companies system. Staff were finding it increasingly difficult and time consuming to find and retrieve drawings and documents, and realised that they needed a solution to better organise their drawing and files in a more structured way.

The Solution

The first step was to better organise the data. Lloyds TSB introduced an A-Z file structure and started to pull together all of the property information into one place. Whilst they were pulling the information into a central location the next hurdle came in users trying to find information quickly in a file structure that holds 1.31 million (and counting) files and folders. Oasys Columbus Professional was the tool that Lloyds TSB felt would help them manage their data.

Columbus Professional allows Lloyds TSB to use a single program to view the many different file formats that they have data stored in. The users create their own .CDS files, which allow them to have a snapshot of the A-Z file structure (essentially they pick the areas of the A-Z file structure that they use on a regular basis). All of the .CDS files are stored in a central location and Team Managers can include their staff's .CDS files in their own allowing them to see what their staff are currently working on. Not only that, but everybody's .CDS file also references the company standards, ensuring that everyone is working the same.

The end-result is that all project staff can see immediately which projects their subordinates are responsible for and can find the relevant project documents quickly without having to know their locations on the servers.
